Orphaned OST: how to recover email from an account that no longer exists
An OST file keeps a copy of the mailbox that lives on the server. It only opens in the Outlook profile that created it. If the account was deleted, the employee left the company or the profile was recreated, the OST becomes orphaned: the email is on the disk, but Outlook won't open the file anymore.
Signs that this is your problem
- Outlook says the .ost file is in use or cannot be opened.
- You have an .ost file from another computer or an old profile.
- The account was disabled on Microsoft 365 or Exchange and the server no longer has the mailbox.
- Outlook asks to recreate the OST and you're afraid of losing unsynced items.
Why it happens
- The OST is tied to the profile and account that created it; outside them Outlook won't open it.
- An interrupted sync leaves items only in the local file, with no copy on the server.
- Account deleted on the server, a new computer, or a recreated Outlook profile.
How to fix it, step by step
- If the account still exists on the server, the simplest path is free: remove the Outlook profile, create it again and let the OST download again.
- If the account no longer exists or there were items that never synced, copy the OST to another folder before touching the profile. Recreating the profile can delete the old file.
- Confirm that you have the right to access that mailbox. In companies, get written authorization from whoever is responsible, because the mailbox may contain other people's personal data.
- Load the OST copy into the free Neural Mail Repair scan and check the folders in the preview.
- Save as PST and open it in Outlook with File > Open & Export > Open Outlook Data File.
How to keep it from happening again
- Before deleting an account or offboarding an employee, export the mailbox from the server itself.
- Let the sync finish before closing Outlook or switching networks.
- Don't delete the old OST when recreating a profile until you've checked nothing is missing.
Menu names may vary with your Outlook and Windows version. Before any repair, make a copy of the data file with Outlook closed.
No software recovers 100% of cases. Overwritten parts, empty files and files encrypted by ransomware have nothing left to recover, and the free preview shows you that before you pay.
